It's August. How many of
your New Year's
resolutions are still
waiting for completion?
Is one of them your
promise to Get Organized?
Since it is too hot to be
outside, let's try to
catch up
on organizing your
business.

Quick Tips for Getting
Organized
1.
Planning -
Make a list of your
biggest office
organization problems.
Do you have piles of
papers that need to be
sorted, trashed, or
filed? Do you have
general garbage
surrounding you (such
as drink bottles, old
magazines, etc.)? Do
you have disks or CDs
everywhere with files
and programs that you
need? Do you have a
problem finding a pen
or paper clip when you
need one?
2. Clean, organize,
and purge your desk -
Update your files and
replace all torn
files. Buy new files,
in different colors,
and organize them by
color: green for
financial papers,
purple for clients,
and so on. Be sure to
label all the files,
and then organize them
alphabetically within
each color scheme. And
never, ever put the
word *Misc* on any
file -- once you file
it, you'll forget what
you put in it. If you
can say out loud
what's in the file,
you have your label.
3. Get rid of
any office supplies
you haven't used in
the past year - Return
them to the store for
credit or donate them
to your favorite
charity. The less
clutter there is in
your office, the more
happiness there'll be
in your life. If you
buy a new printer,
donate the old one.
You don't need two
printers -- the old
one is just taking up
space. This goes for
everything in your
office.
4. Clean
out your inventory
- the same as above.
If you have inventory
that isn't selling,
have a big sale. This
will bring in
customers and open
space for new, more
saleable products. Or
donate it to a charity
for a tax write-off.
5. Go digital
whenever possible -
File emails and
documents on your
computer in digital
form rather than
printing everything
out for paper files.
Keep your computer
backed up so nothing
is lost. 6.
Organizing Your
Computer - If
your general office
space is cluttered and
unorganized, chances
are your computer
files are in disarray
as well. You'll find
that you can work more
productively if you
don't have to search
for where you saved
files. Simply delete
anything you no longer
need, clear any
unnecessary icons off
of your desktop area,
and organize your
computer's file
folders in a similar
manner to your hard
files. 7.
Scheduling -
Always keep your
schedule and deadlines
in front of you.
Missing an important
deadline isn't an
option. Keep
a calendar on your
desktop, so you can
view general deadlines
at a glance.
8. Make a note
on your calendar - one
week ahead of any
event about what you
need to do for that
event, Do you need
to buy wine to take to
an office party? Do
you need to send
flowers for your
mother's birthday?
Whatever it is, make a
note of it in advance
so you can stay on top
of your tasks.
9. Use only
one calendar -
Choose the one that
works best for you:
one on your computer,
a handheld one like a
PDA, or a paper one on
your desk. Then get
rid of all your other
calendars and use just
the one to record and
keep track of
everything.

Online Calendars
For years I used Outlook
as my calendar. But, now
my Outlook is not looking
good. I don't mean my
attitude, my Microsoft
Outlook crashed. Instead
of spending money to
replace it, I switched to
a Web mail account and I
found Google Calendar, a
free time-management Web
application offered by
Google.

read-only version of your
